Job Title: Executive Assistant (Remote) – DwellPro

Location: Mostly Remote (Occasional local errands or check-ins may be needed)
Job Type: Full-Time
Compensation: Up to $72,000 + Sales Bonus
Benefits: No insurance or retirement plan offered at this time

About the Role
We’re DwellPro — a fast-growing home service company known for quality work, strong client relationships, and consistent service. We’re looking for a high-performance Executive Assistant who is tech-savvy, highly organized, responsive, and proactive to help run the day-to-day operations and directly support the business owner.
This is a key role. You will be the right hand of the owner, helping to take things off his plate so he can focus on the highest-level priority: growing the company. If you’re someone who thrives on urgency, precision, communication, and ownership — you will love this role.

Key Responsibilities

Business Operations Support:
• Manage and maintain the owner’s business and personal calendar using Google Calendar
• Communicate back to clients quickly via phone, email, and text in a friendly, professional tone
• Handle bookkeeping and data entry in QuickBooks (must be proficient)
• Create/send invoices and estimates using company-specific software
• Maintain accurate records and organized digital files
• Follow up on quotes, appointments, payments, and referrals
• Send summary reports to clients after service visits
• Assist with sales: follow-through, upselling, and client onboarding
• Improve and streamline internal workflows
• Always operate with urgency, responsiveness, and professionalism
Executive / Personal Assistant Support:
• Book travel, appointments, and personal reservations for the owner
• Pay personal bills and track owner’s personal to-dos
• Manage owner’s personal calendar
• Take ownership of tasks that don’t require the owner’s direct time
• Anticipate needs and delegate solutions accordingly

Required Skills & Qualities
You should demonstrate the following:
• Communicates clearly and professionally
• Responds very quickly to all texts, emails, and client needs
• Operates with a strong sense of urgency at all times
• Able to work early mornings, evenings, or weekends when needed
• Willing to work 50–60+ hours/week during company growth
• Highly organized, methodical, and detail-oriented
• Strong verbal and written communication (Spanish a plus)
• Self-starter who doesn’t need handholding
• Handles pressure well and stays focused in a fast-paced environment
• Thick-skinned — can handle direct feedback and high-maintenance personalities
• Persistent with follow-ups, timelines, and accountability
• Proactive, not just reactive — takes initiative
• Works with complete integrity and confidentiality
• Proficient in QuickBooks, Google Workspace (Docs, Drive, Calendar), and spreadsheets
• Tech-savvy — learns new tools quickly
• Confident with light sales activity and client conversion
• Bilingual (Spanish/English) is a plus

Bonus Experience (Not Required, But Helpful)
• Worked in a handyman, trades, or property management business
• Prior experience supporting a small business owner or entrepreneur
• Startup experience or fast-paced remote environments

What We’re Looking For
• Bachelor’s degree or 5+ years of executive assistant experience
• High IQ, proven by GPA or a short IQ test
• At least 3 years of full-time work experience
• Strong moral compass and personal accountability
• Growth mindset — hungry to learn and improve
